Barcelona Municipal Services (B:SM), company from the City Council of Barcelona is considering to implement a CMMS system that would allow the technical services responsible for the facilities management of the Olympic Ring, to manage in a more effective and efficient manner the maintenance tasks performed by subcontractors and have a more structured and updated information that will allow them to make decisions related with the maintenance activity in a more precise manner.
Palau Sant Jordi
Designed by Japanese architect Arata Isozaki, was inaugurated on September 21, 1990, two years before the celebration of the Olympic Games in Barcelona. It is considered a masterpiece of architecture and modern engineering. Its structure and machining materials give it great flexibility to tailor the site to accommodate the most varied events.
For sporting events has a capacity of 16,500 spectators (enabling bleachers in the south end, which normally lacks them), while concert has a maximum capacity of more than 24,000 spectators, although recent bylaws restrict licenses to a maximum of 18,000.
Olympic Stadium
Remembered as the venue for the Opening and Closing of the 1992 Olympic Games, the Olympic Stadium stands out for its spectacularity, as well as for its infrastructure and technology. It is the most endearing sports facility for the Barcelonians, the star of the Olympic apotheosis.

One of the innovative requirements of the implemented system was that the maintenance service providers could self manage the preventive maintenance plans in close collaboration with the technical directors of BS:M.
The complexity of the solution
The Palau Sant Jordi and the Lluis Companys Olympic Stadium, the two most iconic sports venues in the city and the main places that hosted the 1992 Barcelona Olympics, are very complex buildings due to their design, installations and equipments.
Rosmiman helps B:SM to manage these two facilities in the areas of corrective maintenance, preventive maintenance, conductive maintenance and reactive maintenance.
The assets to be managed are:
- The buildings, including all constructions, facades, roofs, chairs, running track, football field, gates, CCTVs, fire systems, sports scores, gas installations and giant video screens.
- Specific sport facilities asset such as electronic control boards, lighting, power supply for large events and sound systems.
- Daily conductive maintenance process includes tasks such as legionella control in all facilities, taking electric meter data, taking temperatures, inspection of HVAC systems.
Peculiarities of the system
The solution adopted to meet the customer needs is the use of mobile devices and tablets that are permanently connected to the internet via Wi-Fi networks and 3G cellular connections.
In combination with ROSMIMAN® and the mobile systems on Tablet PCs, a complex system of e-mail and SMS message alerts to mobile devices has been implemented, with the goal of having records of all maintenance activities to provide complete traceability of all actions performed by the technicians, service providers and inspectors in the management system.
The system generates an average of 624 emails per month spread between the maintenance technical services responsible of B:SM, the technicians of B:SM assigned to the maintenance service and the responsible for different service providers for the following actions:
- Incident Creation
- Preventive Work Orders
- Corrective Work Order
- Warning on limit to perform a Work Order
- Incidents in the execution of any Work Order and based on reasons preventing their execution and closure
- Reallocation of Work Orders
