CATALAN INSTITUTE OF ONCOLOGY – ICO, Cloud Technology for the Strategic Management of Hospital Infrastructures

The Catalan Institute of Oncology decided to award the contract for the Asset & Maintenance Management system for medical equipment, facilities and infrastructures to IDASA SISTEMAS after a PUBLIC BIDDING process and against other solutions on the market in Spain.

With this award, IDASA SISTEMAS reaffirms its position as a leading provider of advanced technological management solutions for Maintenance and Facility Management services for infrastructures and medical equipment in the healthcare and social services sectors.

The proposed model for the next 5 years is based on the ROSMIMAN® Healthcare solution under CLOUD modality (Cloud technology for private companies and public entities) as a specialised MAINTENANCE and FACILITY MANAGEMENT solution and applying methodologies, features and own developments that optimise the deployment and operation of the system to be supplied.

About the real estate assets to be managed

Currently, the General Services & Infrastructures Department is managing all buildings and services of the Durant i Reynals Hospital, with more than 10,000 assets and 60 Cost Centres registered in ROSMIMAN®.

Likewise, the comprehensive management of the ICO Badalona centre at the Germans Trias i Pujol University Hospital and the ICO Girona centre at the Doctor Josep Trueta University Hospital are being gradually incorporated into ROSMIMAN®.

The data from the last few years managed by the ICO General Services & Infrastructures Department through ROSMIMAN® are detailed below:

Management of more than 6,000 corrective requests made by healthcare workers of the Durant i Reynals Hospital.
Planning and execution of approximately 260 monthly preventive and regulatory maintenance work orders.

All maintenance work is carried out by external companies. Currently, three contractor companies use the ROSMIMAN® Healthcare Contractor Portal to manage general maintenance, cleaning and electromedical tasks.

ICO’s maintenance managers are also in charge of maintaining and managing the technical documentation of work files, legalisations and business activities updated with the intelligent document manager incorporated in the system and with more than 1,000 documents managed.

About objectives & requirements

The Catalan Institute of Oncology (ICO) had the need to acquire a state-of-the-art IT application service to be able to carry out the comprehensive management of properties and services, with the aim of providing the ICO’s General Services and Infrastructures Department with an adequate tool capable of managing all activities and tasks entrusted to it.

It was, therefore, a matter of moving from tools distributed in different formats or applications owned by third-party providers, to centralised tools as a single management and information repository, and available to ICO managers with access to information from any device connected to the internet, with 100% availability and with guarantees of security, protection and integrity of the data generated from activities related to property management.

On the other hand, external service companies should be integrated into operating flows defined by the ICO technicians for executing assigned work orders (be they corrective, preventive or service), registering performed activities, completing documents, obtaining information on the inventories of assets, facilities, or electromedical material, being, in the first instance, responsible for always keeping this information updated.

As a fundamental mechanism for ICO managers, it was essential to have indicators associated with service levels in order to analyse times related to the management of work orders assigned to service providers (response times, execution, downtime , budget, etc.), according to the contractual conditions and depending on the priority of the request and/or the type of space, infrastructure or facility, and types of events (expiration of contracts, delayed work orders, tasks with fixed date, etc.), all this with the possibility of assigning alerts.

About ICO

The Catalan Institute of Oncology (ICO) is a public centre working exclusively in the field of cancer. Its approach to the disease is comprehensive, combining, all in one organisation, prevention, care, specialised training and research.

The ICO is a public company created in 1995 by the Ministry of Health of the Government of Catalonia. It went into service a year later, operating from the Hospital Duran i Reynals in L’Hospitalet de Llobregat.
